The shampoo you recommend at the basin, the beard oil by the register, the aftercare kit that goes home with a new set - retail is part of the takings for most salons, barbers and clinics. The Products page is where that shelf lives: every product, its price, and how many you have on hand.
Adding a product
Open Catalogue, then Products and choose Add product. A product needs a name and a price - everything else is optional:
- Photo - handy for casual staff who know the bottle by sight.
- SKU - your own product code, if you use them.
- Category - group a long shelf into sections like Hair care or Tools, the same way service categories work. Groups are just for finding things; they never change a price.
- Description - a short note for you and your team.
Prices are entered including GST, and if you've told us you're GST registered, the GST portion is worked out for you the same way it is for services.
Sizes and options
One product can come in more than one form - a 300ml and a 500ml, or two shades of the same tint. Rather than creating separate products, choose Add another size or option on the product, then pick what makes them different: a size, a colour, a scent, a material, a flavour, or your own word for it. Each option gets its own price, SKU and stock count, but they stay one product on your list.
How stock works
Stock isn't a number you overtype - every change is recorded with a reason, so the count on screen always has a story behind it. When stock arrives, when a bottle gets damaged, or when a stocktake finds the shelf doesn't match, open Adjust stock on the product and record what happened:
- Stock arrived - how many came in.
- Stocktake - type the actual count on the shelf and the correction is worked out for you.
- Damaged or written off - how many you're removing.
The recent movements for each product are right there in the same window, so you can always see how a count got to where it is.
Low stock
Give a product a Low stock at number and your Products page will show it's running low when the count falls that far - your cue to reorder before it becomes a lost sale. Leave it empty and that product stays quiet.
Selling at close-out
When you close out a visit, choose Add item and pick from the menu - your services, add-ons and products are all there with their prices. Pick a product and the price fills in; the - and + buttons set how many. Product sales behave like everything else on the bill - discounts apply, gift cards can pay, GST is worked out, and the receipt lists them. Stock comes off automatically when the sale is recorded, and goes back if you undo it.
One thing worth knowing: a sale is allowed to take a count below zero. If the shelf has the bottle but the system says none, the sale still goes through - the negative count then shows in red on your Products page as your cue to do a stocktake. The records should never argue with a customer standing at the desk.
The walk-in sale
Someone buys something without an appointment? Press the + button and choose New sale: it opens the same window as closing out a visit - add products, services or anything typed in, take a tip, apply a discount or a gift card, and record how they paid. You can put a name to the sale - then it shows in that customer's history and counts toward loyalty - or leave it anonymous for a quick cash sale. Every sale lands on the Payments page - open a walk-in sale there to email its receipt or undo a mistaken one (the stock goes straight back).
When should something be a booking instead? If it should hold time on your calendar. A walk-in who sits down for a service can go either way: New booking blocks the chair out; New sale just records the money - whichever fits how you run your day.
Products and loyalty
If you run a loyalty program that awards points on money spent, product purchases earn points too. You can switch that off under Growth, in your loyalty program settings, so only services earn. A product bought on its own never counts as a "visit" for visit-based programs.
The low-stock alert
Beyond the flag on your Products page, you can be told the moment a product crosses its low-stock level: in My notifications, turn on "A product is running low" for the bell, email or text. It fires once per crossing, not on every sale after it.
Archiving
A product you no longer carry can be archived from its menu. It leaves your list straight away but keeps its history, and you can restore it any time.
