A customer with a package doesn't pay at the visits it covers; a session is used instead. Here's how that works from their side and yours.
Three ways a session covers a visit
- Logged in. A customer logged in to their BeNotely account sees their packages under My packages. When they book a service their package covers, it shows Covered by your package and books at $0. They can choose Pay for this one instead to keep the session for another day.
- With their package link. Every email about their package carries a Book with your package button. It shows them what's left and opens your booking page with their details filled in. The booking is always theirs, whoever holds the phone.
- At checkout. Whatever way they booked, when you check out the visit the covered service offers Use a session. That's the catch-all: it always works. It's already switched on when the visit was booked with a session; for one booked without, turn it on. Your own New booking offers Use a session too, so a visit booked over the phone is covered before they arrive.
A package link only ever opens for its holder. Logged out, the link itself is the key, like a booking link. Logged in, only the packages on that account open: someone else's link shows nothing but a note saying it belongs to another account.
A customer who books as a guest, without logging in or using their link, pays as usual. Their confirmation email then offers Use a session: one tap and the visit is covered, and any deposit over the new amount goes back to their card. Nobody's package is ever shown on the strength of a typed email address.
Buying online
With Sell online on, a customer buys the package from your booking page or website. They can log in first so it's kept in their account, or buy as a guest. Either way they get an email with the tax invoice, their package link, and an invitation to create their account. The package is saved under the email they gave, and every email says so, so a guest always knows where to find it.
What they see
- Their package link page: the package, how many sessions are left, the use-by date, and Book.
- Every receipt from a covered visit: the service at $0.00, "Covered by your package, 3 of 6 left".
- The email when they buy a package, when you issue one, send their link, update it, or cancel it.
Missed visits and cancellations
Each package carries its own rules, set when you made it and told to the customer when they bought it.
- A missed visit uses a session when the package says so. The no-show dialog reminds you before you mark it, and Undo gives the session back.
- A late cancellation by the customer uses a session only if the package says so; most don't. Cancelled by you, the session always goes back.
- Cancelled inside the free window, the session goes back.
Booked but not yet visited
When a visit is booked against a package, the session is held for it ("4 left, 1 booked"). It's used when the visit is checked out, and returned if the booking is cancelled. A booking with more services than the package covers pays its deposit on the rest only.
Repeat bookings
A repeat series is booked at full price every time; the session is used at each visit's checkout, where Use a session is already switched on.
