Send a form

How the link reaches customers with a booking, how to send it again or open it on your own screen, and how to ask someone who has no booking at all.

Once a form is attached to a service, you rarely have to send it yourself. This article covers what happens on its own, and the handful of times you'll send one by hand.

With a booking

Two switches on each form decide how it travels:

  • Send it when a booking is made. A card in the confirmation email and a line in the confirmation text, with the link. The ask also appears on the confirmation screen the moment they book online, and on their Manage booking page.
  • Repeat in booking reminders. One line in the reminders you already send, while the form is still blank. If your reminders are off under Notifications, the form goes out with the confirmation only.

Nothing goes to a customer who has already signed the current version. If a service with a form is added to a booking before the visit, they get the link then.

Bookings that were already on the calendar

Attaching a form never emails anyone by itself. Instead, the moment you save a form onto a service with upcoming bookings, a prompt says how many customers haven't signed it and offers Send now: every one of them gets the link, by email or text, whichever they can take. Not now is fine too; they get it in their reminders. The same count and button stay on the form while any remain.

Send again, or open it here

Open the booking. The Forms section shows each form as Signed or Not signed. For anything not signed:

  • Send again sends the link by email or text.
  • Open here brings the form up on your own screen, so you can hand them the tablet at the counter. A form opened this way never shows your own account at the top, and has no way back into the booking.

At the visit, the close-out names any form that was never signed, including one for a service you add to the bill on the spot, with the same Open here.

Without a booking

A walk-in, a regular you'd like on file, someone who books by phone: press Ask for a form at the top of their profile (it's on the Forms tab too). Pick the forms, then Open here, Send by email or Send by text. The link is theirs for 30 days, works without a booking, and everything they sign lands on their record the same way.

In a message you write yourself, every form is also an insert field, such as {{lash consent form}}, that becomes that customer's own link.

What if the link has expired?

Form links work for 30 days, and stop working once the form is signed. After that the page says so and asks them to get in touch with you; send a fresh one from the booking or from their profile.
