Privacy Policy

BeNotely ("BeNotely", "we", "us") provides online booking software for salons, barbershops, spas and similar service businesses, available at benotely.com. This policy explains what personal information we collect, why we collect it, and how we handle it. We are based in Australia and handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Who this policy covers

We handle personal information about three groups of people:

  • Business users: owners and staff of businesses that use BeNotely to take bookings.
  • Customers: people who book appointments with those businesses through a BeNotely booking page.
  • Visitors: people who browse our website or contact us, for example through the demo request form.

Information we collect

Business users

  • Name, email address and password (or Google account identifier) for your login.
  • Business details you provide during setup: business name, address, phone number, services, prices, staff names and photos, opening hours, logo and brand colour.

Customers

  • Name, email address and mobile number, provided when making a booking or creating an account.
  • Booking details: the services, staff member, date and time booked, booking notes you choose to leave, and your booking history with each business.
  • Free-text booking requests you type into the booking assistant (for example "haircut on Saturday afternoon"), used to suggest suitable services and times.

Visitors

  • Details you submit through our demo request form: name, business name, email, phone and message.

How we use your information

  • To provide the service: creating, confirming, changing and cancelling bookings.
  • To send transactional messages about your bookings and account, such as booking confirmations, cancellation and reschedule notices, reminders, and sign-in links or codes.
  • To power booking suggestions: free-text requests are processed to match them against the business's service menu and availability.
  • To respond to enquiries, arrange demos and provide support.
  • To keep the service secure, prevent abuse, and meet our legal obligations.

We do not sell personal information. We do not use customer booking data to advertise to customers.

SMS and text messages

Where SMS features are enabled, we send text messages only for the purposes described above, for example booking confirmations, appointment reminders, and one-time sign-in codes. By providing your mobile number when booking or signing in, you consent to receiving these service messages. Message frequency depends on your bookings. Standard message and data rates may apply.

  • You can opt out of SMS at any time by replying STOP to any message.
  • Reply HELP, or contact us at hello@benotely.com, for assistance.
  • Mobile numbers and SMS consent are never sold, rented or shared with third parties or affiliates for their marketing or promotional purposes.

How information is shared

When you book with a business through BeNotely, your booking details (name, contact details, services, times and notes) are shared with that business. That is the point of the booking. Each business is responsible for how it handles its own customer list outside of BeNotely.

We also use a small number of service providers to run BeNotely, strictly to provide the service on our behalf:

  • Cloud hosting and database providers (our servers and data storage).
  • Email delivery providers (to send the emails described above).
  • SMS delivery providers (to send the text messages described above).
  • AI processing providers (to interpret free-text booking requests; these requests are processed to provide the feature, not to build advertising profiles).
  • Analytics providers (to understand how our pages and product are used so we can improve them). This can include session replays of activity on our own pages, with anything typed into a field masked before it leaves your browser. We use this data to improve BeNotely, and we never sell it.
  • Advertising measurement (Google). When you arrive at our own marketing pages from an ad we have placed, Google sets a cookie so we can tell that the ad worked. If you then create a BeNotely account or subscribe to a plan, we report that to Google along with a hashed (unreadable) version of your email address, used only to match the conversion to the ad click. This measurement runs only on BeNotely's own marketing and account pages. It never runs on the booking pages or websites we host for businesses, and it is never used to build advertising profiles of you or your clients.

Some providers may store or process data outside Australia (for example in the United States). We take reasonable steps to ensure they handle personal information consistently with this policy. We may also disclose information where required by law.

Cookies

We use essential cookies (such as the session cookie that keeps you signed in) and first-party analytics cookies that help us understand how BeNotely is used. On our own marketing and account pages we also use a Google advertising cookie for one purpose: measuring whether our own ads led to a sign-up. We do not run advertising cookies on the booking pages or websites we host for businesses, and we never sell cookie data.

Security

We protect personal information with industry-standard measures, including encryption in transit (HTTPS), encrypted password storage, signed and expiring links for booking management and sign-in, and rate limiting. No system is perfectly secure, but we design for safety first.

Data retention

We keep personal information for as long as needed to provide the service and meet legal obligations. Booking records are retained so businesses have an accurate history. Sign-in links and codes expire within minutes. You can ask us to delete your information at any time (see below).

Access, correction and deletion

You can ask us to access, correct or delete the personal information we hold about you by emailing hello@benotely.com. If your request concerns your record with a specific business (for example your booking history at a salon), we may direct the request to that business or handle it with them, since they also hold that information. We respond to requests within 30 days.

If you have a complaint about how we've handled your information, contact us first and we'll do our best to resolve it. You can also complain to the Office of the Australian Information Commissioner (oaic.gov.au).

Children

BeNotely is not directed at children under 16. We do not knowingly collect personal information from children. Bookings for minors should be made by a parent or guardian.

Changes to this policy

We may update this policy from time to time. Material changes will be flagged on this page with a new "last updated" date. Continued use of BeNotely after a change means you accept the updated policy.
