The stock reports

What you have in stock and what it's worth on any day, and what arrived, sold, was used and was counted over any dates.

Two reports cover your stock: Stock on hand and Stock movements. Find them under Reports, in the Stock group (owners only).

Stock on hand

What you had in stock and what it was worth at the end of a day. Choose Today, End of last month, or Pick a day for any day before.

  • Value at cost: each size's stock × what one cost you.
  • Retail value: each size's stock × today's price, for sizes for sale.
  • Units on hand: every unit, for sale and not.
  • Needs a count: sizes your records have below zero. A stock count corrects them.

Stock For sale and Not for sale are totalled apart. Stock you use in services may not count as trading stock for tax, so your accountant can treat it on its own.

The list shows every size with stock, archived products included, since the stock is still yours. Group by a category, brand or supplier to see their totals, and use the filters to narrow it down.

Export CSV downloads every size, including those with none, with its SKU, barcode, brand, supplier, category, stock, cost, value, price and retail value.

A past day

A past day's stock is worked out from each size's history: what you have now, less everything that's happened since. Each size is valued at the cost recorded with its last stock change up to that day.

A count or a delivery is on the day you save it, unless you choose an earlier day in Count date or Date received, up to a month back. A count for 30 June done on 3 July puts what it found on 30 June, and the sales and deliveries since stay on their own days. An item counted after 30 June keeps that count, and what the new count found goes on today.

Costs and GST

If you're registered for GST, costs, prices and values leave it out, the way the ATO asks when you can claim the GST back. A size without a cost is counted but not valued, and the tile says how many. A size below zero isn't valued.

At 30 June

  1. Count your stock: choose Count stock on the Products page. If you count after 30 June, set Count date to 30 June before you save.
  2. Any time after, open Reports, then Stock on hand.
  3. Choose End of last month if it's July, or Pick a day and choose 30 June.
  4. Choose Export CSV and send the file to your accountant.

The ATO lets you value each item at cost, market selling value or replacement value. Value at cost gives you the first, and Retail value, at today's prices, helps with the second.

Stock movements

Where your stock went over any dates. On top, in units and at cost:

  • Arrived: deliveries received and opening stock added.
  • Sold: at what each unit cost you when it sold, so this is your cost of goods sold.
  • Used in services: stock recorded as used in a service, including what a count found short on stock you don't sell.
  • Written off: stock written off.
  • Count differences: what counts found short or over.

Each change is at the cost recorded with it, without GST if you're registered.

Below, each size that changed has its stock at the start of the first day, every change in its own column (Arrived, Sold, Returned, Used, Written off, Count), and its stock at the end of the last day. Every line adds up: the start plus every change is the end. Group by a category, brand or supplier to see its totals, all of its stock included, and use the filters as in Stock on hand.

Export CSV downloads every size with stock or a change, with units and cost for each column.

Do the two reports agree?

Yes. Both read the same stock history, so a size's stock at the end of a day in Stock movements is its stock on that day in Stock on hand. Stock on hand's totals leave out sizes below zero.

Why is a size's cost missing?

It has no cost yet, or a change was recorded before it had one. Add its cost on the product, and every change from then on records it.
