BeNotely - Book smarter. Run smoother.

When a visit needs more than one team member

How BeNotely shares an online booking between your team when one person can't take the whole visit, which times your customers see, and the two switches that control it.

When a customer books two or more services online and no one person can take the whole visit at the time they want, BeNotely gives each service to someone on your team who's free, one straight after the other. It's still one booking, and your customer sees one visit.

A time that one person can take the whole visit at always stays with that person, as it always has. Sharing only adds times that couldn't be booked otherwise.

Your two switches

Both are in Settings › Booking page › Booking rules, and both are on to begin with. They only change online booking: you and your team can always book any services with anyone.

  • Customers can book more than one service in a visit. Switch it off and customers pick one service per booking online.
  • Customers can book a visit with more than one team member. It shows while the first one is on. Switch it off and every online visit stays with one person who does all its services.

How the times work: an example

Say Tim does colours and cuts, Sam only cuts, and Chloe only colours. Your Booking order puts Full colour first, then Haircut & Style. A customer books both at 2:00, so the visit runs:

Time Service
2:00 to 3:30 Full colour
3:30 to 4:15 Haircut & Style

Which times they see depends on who they pick under Who would you like?

  • Anyone available. 2:00 shows when Tim is free from 2:00 to 4:15, and the whole visit is his. If he isn't, 2:00 still shows when someone who colours is free from 2:00 to 3:30 and someone who cuts is free from 3:30 to 4:15: Chloe does the colour and Sam the cut.
  • Sam. Sam keeps the cut. 2:00 shows when Sam is free from 3:30 to 4:15 and someone who colours is free from 2:00 to 3:30. That's why Sam can show 2:00 even when he's busy until 3:30: he's only needed from 3:30.
  • Chloe. Chloe keeps the colour. 2:00 shows when she's free from 2:00 to 3:30 and someone who cuts is free from 3:30 to 4:15.
  • Tim. Tim does both, so he keeps both. 2:00 only shows when he's free for the whole visit. A visit is never split away from the person your customer picked.

Who gets each service

When more than one person could do a service, BeNotely uses as few people as possible, then gives it to whoever has the fewest bookings that day, so work spreads across your team. The services always run one straight after the other in your Booking order, with no gap. The next service never starts during a colour's processing time: it waits for the colour to finish.

What your customer sees

  • Under Who would you like?, someone who doesn't do every service they picked shows the ones they'd do, like "Haircut & Style only".
  • Before they confirm, a service the person they picked doesn't do says "with another team member". With Anyone available, nothing changes: the people are chosen when they book.
  • After booking, the confirmation page and their email name each service's person ("Full colour with Chloe", "Haircut & Style with Sam"), and their SMS names everyone in the visit.

In your calendar

Each service shows in its own team member's column, and everyone in the visit gets its alerts. You can change who does what afterwards, as with any visit: see When a customer books two services at once.

At checkout

Each service and add-on on the bill says who did it, and counts for them in the By staff report. For one you add at checkout, pick who did it from its list. The tip is split by what each person's services came to.
