How the waitlist fills your cancellations

Turn a full day into a list of people ready to book, and let freed slots find them by text, in minutes.

When a day is fully booked, customers don't have to walk away, they can join the waitlist for it. Then the moment something frees up, the people waiting hear about it automatically. Here's how it works.

Customers join from a full day

On your booking page, when someone picks a day that's full, they can join the waitlist instead: their services, optionally their preferred person, and their contact details. You see the demand straight away:

  • A Waitlist button with a count appears on your Bookings page.
  • The calendar wears small "2 waiting" chips on the days people are hoping for. Tap one to see the queue.

How a freed slot finds them

The moment a matching slot opens (a cancellation, a reschedule, extended hours), the offer goes out:

  • By text first, because a freed slot is time-critical and a text gets seen in minutes. Email carries it when a text can't go.
  • To the longest-waiting people first, who get a two-hour head start before the next group hears about the same day.
  • First to book gets it. An offer is an invitation, not a hold, so a slot is never promised twice.
  • Only between 8am and 8pm in the customer's local time. A slot freed at 11pm is offered at 8am, still oldest first; nobody's phone buzzes at midnight.

Each person gets exactly one offer, ever. It's the nudge they asked for, not a campaign.

Good to know

  • One active entry per customer per day; joining again just refreshes what they're waiting for.
  • Entries for days that have passed clear themselves.
  • You can remove any entry from the queue.
  • Any booking on the wanted day settles the entry, however it was made.

The waitlist is part of the paid plans. On the free plan the join option leaves your booking page, so customers are never invited to wait for a nudge that can't come.

FAQs

Do I have to do anything when a slot frees up?

No. The offer goes out on its own and the first person to book takes the spot. You'll just see the gap fill on your calendar.

What if two people want the same freed slot?

They're offered it oldest-first, and whoever books first gets it. Because booking still goes through the normal engine, the slot can never be double-promised.
