Checking out a visit records what was actually sold and how it was paid, and marks the visit completed. Nothing is charged: you take the money however you already do, and the checkout writes down how it came.
Open the checkout
- On the calendar or the bookings list, open the booking and choose Completed.
- In Close out your day, choose Check out on a visit. A visit with a from price says so ("from $280"): set the final price on the bill. Mark all completed checks out the rest at their booked price in one go. A from-priced visit, one whose deposit is more than its bill, and every visit while invoicing is on wait for their own checkout.

The bill
The bill starts with the services and add-ons that were booked, at their menu price. A promotion or a promo code used when they booked shows as its own line underneath, so the bill reads the way the receipt will. A price agreed for a from-priced service starts at that price.
- Change a price or a count. Type a new price, or use - and + for two sessions or three of a product on one line. A price you type stays as you step the count.
- Add what else they bought. Choose + Add item and search by name, SKU or barcode: services, add-ons, each size of a product that's for sale (with how many are left), packages, a gift card, or Something else for anything not on the list. A barcode scanner adds a product the moment it reads it, and the same product again adds one more.
- Take off a discount. Promotions come off by themselves: a booked service keeps the one it was booked with, and anything added takes the best one running today. Take one off this bill with its ×. Choose + Add discount for an amount, a percent or a promo code (one at a time).
- Use their package. A service their package covers offers a session. It's ticked when the visit was booked with one, or is one of a repeat booking; tick it to use a session, untick it to charge for it instead.
- Money they've already paid comes off the total: a deposit, credit (tick Use their $X credit), or a gift card by its code.
- Add a tip, when tips are on in Settings → Payments → Checkout.
How it was paid
Choose Cash, Card, Transfer or Other. It starts on your Usual payment method from Settings. Cash rounds to the nearest 5 cents, and the receipt shows the rounding.
While invoicing is on, choose Send an invoice instead to bill them later. See Invoices.
Then choose Complete visit. The visit note is saved, the receipt goes by email when Email receipt is on (paid plan), and on the paid plan you're offered to book their next visit, around the day they usually come back, unless they've already booked one.
Before they leave
- Visit note. What you did today and what to try next time. Last time's note shows with it. Only your team sees it.
- Forms. A form they haven't signed for these services is named, with Open here so they can sign on your screen.
In the app
In the BeNotely app, open Payments and choose Check out on a visit, or open the booking and choose Completed.
- Tap a line for its price, how many, who sold a product, or Remove from the bill.
- Add an item opens the menu with search. The barcode button opens your camera: every product you scan goes on the bill, the same one again adds one more, and Done brings the bill back.
- Add a discount, Tip, Use their $X credit and Gift card sit under the lines.
- When something stops you going on (a price over $10,000, Something else with no name, a gift card under $1), the line above the button says which.
- Continue takes you to Payment: how it was paid, or Send an invoice, which opens the invoice on the dashboard once the visit is completed. When nothing is left to pay, the bill's button says Complete visit.
- After Complete visit you see what it came to, the receipt (or Send receipt), any gift card sold with Share, and Book the next visit. A customer with no email can still get a receipt: type an address for that receipt only. It isn't saved to their profile.
- If someone changes the visit on another phone or the dashboard while you're checking out, the bill shows the latest and says so. Anything you added stays on it.
- Leaving a bill you've changed asks first.
FAQs
In the app, the connection dropped when I pressed Complete visit. Did it go through?
Press it again. The app sends the same checkout, so if the first one landed you see it completed, and if it didn't, it completes now. It's never recorded twice.
The checkout says they've already paid more than the bill.
The deposit is more than the visit came to. An owner or manager refunds the difference from the booking, then you can check out.
Can I correct a visit after I've checked it out?
Yes. Open the booking and choose Edit sale, or undo it with Reopen visit. In the app, open the sale in Payments and press Edit this sale. See Refunds and returns after checkout.
Can I send the receipt to a different email?
In the app, choose Send receipt after checking out when they have no email on file, and type the address. It goes to that address for this receipt only.
