Your customer list fills itself as you go, and keeps a clear, honest record of everyone who visits. Here's how to get the most from it.

It builds itself

The first time someone books, they're in your customer list. Walk-ins and phone regulars take seconds to add: a name alone is enough to start a record, and details can follow. Your book belongs to your business alone, and is never shared with anyone else on BeNotely.

Bring your list with you

Switching from another platform, or keeping your list in a spreadsheet? Customers → Import takes a CSV file (Fresha, Timely, Square and most platforms export one) or rows pasted straight out of Excel or Google Sheets - no special format needed, the columns are recognised for you. You'll see an honest preview before anything is added: how many customers were found, how many have a mobile or an email, and exactly which rows won't come across and why. Duplicates are matched by mobile number, then email, and skipped rather than overwritten - importing the same file twice never doubles your book. Rows with a small problem are salvaged, not lost: a mis-typed email on a row with a good mobile imports without the email. If your export has a last-visit column (most do), it comes across too: each customer's Last visit shows that date, marked "From your import", until their first visit with you, and your lapsed and due-back lists mean something from day one.

If a file turns out to be wrong, Undo this import takes it back out in one tap. Undo stays available for a week after each import - after that, those customers are simply part of your list. A customer who has booked since always stays - they're real business now.

Every import you've run stays listed on the import page: when it ran, which file, how many were added and what was skipped. If you ever wonder "did I already bring that list across?", the answer is there.

Bring your existing customers across

Use Add customer on the customer list. A name is enough to begin, and you can fill in the rest later. Because records also create themselves whenever anyone books, the book fills in quickly on its own too.

What a profile tells you

  • Honest numbers. Visits counts past bookings that weren't cancelled, so it stays true even if nobody presses "completed". No-shows are counted separately and never inflate visits.
  • Private notes, visible only to your business: preferences, patch tests, the things worth remembering.
  • The whole story: their bookings and every message you've sent, on one timeline.

Find people fast

Search forgives formatting, so a phone number typed any way, or a half-remembered name, still finds the person. And smart segments stay current on their own:

  • New (first seen in the last 30 days)
  • Regulars (three or more visits)
  • Lapsed (no visit in 60 days)
  • Top spenders (top 10% by lifetime spend)

The same segments power your campaign audiences, so the counts always agree. Groups are your own labels, assigned in one action.

Merge duplicates safely

Likely duplicates (a shared email or mobile) are queued for your review. Nothing merges itself, ever, because families share phones and couples share emails. When you do merge, the full history moves to the record you keep, and nothing is lost.

FAQs

Can customers see my notes?

No. Notes are private to your business. Customers only ever see their own bookings and messages.

What exactly counts as a visit?

Past bookings that weren't cancelled, so the count stays honest even when nobody marks a booking "completed". No-shows are tallied separately.

Can I export my customer list?

Yes, to a spreadsheet, whenever you like. It honours your current search and filters, or you can export the whole book. It's yours.
